PERSONAL FOUNDATION

Accounts and balances

Your accounts are the source of every reliable balance. Begin with reality, not an idealized budget.

1. Choose the account type

Use Cash for physical money, Wallet for mobile or stored-value balances, Bank for current or savings accounts, and Card for credit-card activity.

2. Select its real currency

An account keeps its currency for life so historical totals cannot silently change. Create a separate account for a different currency.

3. Enter the opening balance

Use the amount available when you begin Cartofin. Do not recreate years of history unless you genuinely need it.

4. Keep old accounts as history

Archive an account you no longer use. Its past transactions remain available in reports.

Good to know

Cartofin derives balances from the opening amount and transaction history. It does not keep a separate balance number that can drift away from the ledger.

DAILY MONEY

Transactions and multi-account payments

Record what happened once, then show exactly where the money came from.

Income

Choose the receiving account, category, amount, date, and an optional note.

Expense

Choose its category and the account used. For a purchase funded by several accounts, add payment allocations whose total equals the expense.

Transfer

Move money between two of your accounts without counting it as income or spending. Transfer accounts must use the same currency.

SHOW CARTOFIN

Scan a receipt into categorized expenses

Photograph a receipt once. Cartofin prepares the line items, categories, and transaction match while you remain in control of the ledger.

1. Capture or import

Use the camera or choose receipt images. Crop, rotate, and add pages when the receipt is long.

2. Check the extraction

Review merchant, date, currency, line items, discounts, tax, total, and any suggested payment method. Uncertain fields are highlighted.

3. Review category splits

Cartofin groups each item into useful categories while preserving one authoritative purchase total.

4. Prevent a duplicate

If a matching bank or manual expense already exists, attach and itemize it instead of recording the same purchase twice.

5. Reconcile and confirm

The receipt total, category splits, and payment allocations must balance. Nothing is saved until you approve the proposal.

6. Connect the household

After saving, optionally mark recognized shopping-list items purchased. Budgets and reports update from the confirmed expense.

The four category splits total ₨5,100. Reports count one purchase, allocated accurately across categories.
Private and reviewable

Receipt images can reveal sensitive purchases and location clues. Cartofin uses on-device processing where practical; any optional cloud processing must be disclosed before data leaves the device.

PLAN AHEAD

Budgets, bills and reminders

Use budgets for flexible limits and bills for dated commitments.

Create a monthly budget

Choose a currency and either the whole month or one expense category. Cartofin compares it only with matching ledger expenses.

Add a bill

Enter its first due date, expected amount, category, paying account, and recurrence: once, weekly, monthly, quarterly, or yearly.

Mark it paid

Enter the actual amount. Cartofin creates one linked expense and advances the recurring bill to its next unpaid occurrence.

Choose useful reminders

Pick how many days before the due date you want to know. Budget alerts appear as you cross meaningful thresholds.

Everyday use

Coordinate the people, lists, schedules, plans, and vehicles that make up family life.

SHARE WITH INTENTION

Household roles, access and privacy

A household is the boundary for partner and family collaboration—not permission to see everything.

Owner

Creates the household, manages members, permissions, recovery, and completion reviews.

Partner

Helps manage shared finance, members, tasks, and completion confirmation.

Member

Uses the lists, tasks, accounts, vehicles, or spaces specifically shared with them.

Viewer

Can see permitted information without changing it.

1. Create the household

Name it and choose the main household reporting currency.

2. Invite each person

Assign the smallest role that fits what they need to do.

3. Share specific contexts

Select an account, bill group, shopping list, vehicle, task area, trip, event, or project. Unselected personal records remain private.

4. Review access regularly

Remove stale invitations, revoke lost devices, and check the household activity trail after important changes.

Revocation has limits

Removing access stops future synchronization. It cannot erase screenshots or exports a person created while they had legitimate access.

SHOP TOGETHER

Shared household shopping lists

Cartofin organizes what to buy, keeps the household in sync, and records how the final checkout was paid.

Create and share the list

Name it, choose who can contribute, and optionally set its default currency, payment account, and expense category.

Add useful item detail

Capture quantity, unit, section, note, estimated price, or actual line price. Anyone permitted can check and update items.

Complete checkout

Enter the receipt total as the authoritative expense. If several payment sources were used, allocate the total between them.

Keep the history

The completed list becomes read-only and links to its expense, so the plan and the ledger tell the same story.

SHARED RESPONSIBILITY

Tasks, confirmation and task comments

Household tasks stay visible from assignment through verified completion, with every conversation attached to the work it concerns.

Choose one or more active household members.

2Discuss

Keep short updates and questions inside the task.

3Submit

An assignee marks the work ready for confirmation.

4Confirm

An owner or partner approves or reopens it.

Add time and priority

Choose a deadline, priority, recurrence, and how early reminders should appear.

Understand overdue

A task remains overdue until completion is confirmed. Submitting it does not make the deadline disappear.

Comment on the task

Add a question, remark, clarification, or reply. Cartofin keeps the author, time, edit state, and unread state where useful.

Work offline

Create task updates without connectivity. They synchronize as normal task records when an authorized connection returns.

Not a household chat

Cartofin does not provide a general messaging inbox. Comments exist only inside a specific task so context, permissions, and accountability stay clear.

ONE PRACTICAL TIMELINE

Cartofin’s local calendar and synchronization

Cartofin has its own offline calendar. External calendars are optional destinations, not the database for your Cartofin records.

Review the local calendar

See permitted tasks, deadlines, bill dates, reminders, vehicle maintenance, household events, and trip, event, or project dates in one place.

Choose what leaves Cartofin

Select the record and destination calendar. Review the event details before granting device or supported-provider access.

Keep Cartofin authoritative

The underlying task, bill, maintenance reminder, or space record remains in Cartofin and continues working offline.

Disconnect safely

Stopping synchronization prevents future updates. Deleting an exported event does not silently delete the original Cartofin record.

Permission-based by design

Calendar integration is opt-in, clearly identifies the connected destination, and can be disabled without giving up Cartofin’s local calendar.

Check currency context

Reports keep unlike currencies separate unless a clearly disclosed conversion method is available.

Share a PDF intentionally

Create an offline-rendered report for printing or sharing. Check the period and currency before sending it.

Export portable data

Use CSV or another supported data export when you need to work elsewhere or retain a readable archive.

Advanced & privacy

Add recovery, private records, helpful AI, meals, and household controls when you are ready.

USER-OWNED RECOVERY

Encrypted backup and restore

Create a complete encrypted recovery package and place it in Google Drive or iCloud storage that you control.

Create the snapshot locally

Cartofin packages accounts, transactions, budgets, bills, household state, lists, tasks and comments, calendar records, spaces, vehicles, supported attachments, preferences, versions, and integrity metadata.

Encrypt before upload

Client-side encryption happens before the package reaches Google Drive or iCloud. The cloud provider receives an unreadable Cartofin artifact, not plaintext financial records.

Protect the recovery secret

Keep the required key or password safe. Cartofin cannot decrypt a backup when the recovery secret has been lost.

Restore and migrate

After reinstalling, choose the package, verify integrity, unlock it, migrate older formats if supported, and verify records, relationships, and totals.

Establish the new device

Restore user data while creating a legitimate new device identity and completing the appropriate trust or recovery process.

Test before relying on it

Practice restore safely and account for wrong keys, damaged packages, interrupted transfers, and older backup versions.

Before deleting or resetting the app

Confirm that a current encrypted backup or another authorized synchronized device contains the records you need. Uninstalling can remove the device’s local copy.

Meals, pantry, groceries, and food budget

Plan what the household will eat, use what is already available, and connect the real purchase back to the food budget.

Plan the meal

Add breakfast, lunch, dinner, or snacks in weekly or monthly views. Use recipes, servings, favorites, dietary tags, preferences, and repeat meals.

Check the pantry

Compare ingredients with household quantities, units, expiration dates, low-stock indicators, and frequently purchased items.

Generate missing groceries

Offer only the missing ingredients to a selected shopping list and calculate an estimated basket cost.

Confirm the outcome

Use checkout or a scanned receipt to record actual prices, create or match the expense, and explicitly update pantry quantities and the food budget.

Family vault and SOS safety

Keep essential household records permission-scoped and prepare an intentional emergency workflow before it is needed.

Add a vault record

Store an ID, passport, insurance, warranty, property, school, vehicle, appliance, contract, receipt, emergency, or custom record.

Set its boundary

Add the owner, access scope, expiry, reminder, attachment, notes, and tags. Share only with the people who need it.

Prepare SOS

Configure contacts, predefined messages, optional medical notes, a countdown, cancellation, call shortcut, and location sharing where permitted.

Test safely

Use test mode, understand SMS and platform limits, review SOS history, and remember that Cartofin does not replace emergency services.
